Business Systems Assistant

PURPOSE:
A hands-on, high-impact role at the centre of Fred Perry’s IT and data operations. You’ll help manage and improve core business systems, support end users, and keep our operational infrastructure running smoothly. Working closely with Business Systems leadership and IT colleagues, you’ll support legacy systems, troubleshoot issues, document and test changes, gather requirements, and help maintain the accuracy of key property, asset and operational data.
This position may require occasional out-of-hours work and limited travel across the UK, EU and US for project or operational needs.
KEY RESPONSIBILITIES:
The Business Systems Assistant supports the smooth running, development and integrity of Fred Perry’s operational IT and business systems. The role provides a vital link between technology, data and end users, ensuring systems are reliable, data is accurate and processes continually improve.
IT Systems Support
· Troubleshoot, diagnose and resolve system issues, escalating or liaising with third-party vendors when required.
· Monitor system performance and assist with routine maintenance and configuration updates.
· Resolving IT issues as part of the wider IT support team
Business Systems & Process Support
· Work with senior IT and Business Systems leaders to support system improvements, automation and process development.
· Gather requirements from stakeholders and translate them into clear technical actions.
· Support testing activities, including preparing test scripts, assisting with UAT and documenting results.
· Contribute to the rollout and adoption of new system features and upgrades.
Data Management & Reporting
· Maintain high-quality property, asset and operational data through accurate entry, updates, cleansing and validation.
· Run regular data checks, produce routine reports and support monthly planned works.
· Assist in developing meaningful reporting and dashboards, including SQL-based outputs.
Documentation & Administration
· Document business processes, workflows and system procedures.
· Maintain system documentation, knowledge bases and functional specifications.
· Provide administrative support to the Information Systems Lead and wider management team on ad-hoc tasks.
User Support & Training
· Act as a key point of contact for user queries, offering guidance on system usage and best practice.
· Manage support requests through Service NOW ticketing system recommending remediations on repeat issues.
· Support the creation of user guides, training materials and onboarding sessions for new users.
· Help colleagues across the business use IT systems effectively and confidently.
Continuous Improvement
· Identify opportunities to enhance systems, data quality and operational processes.
· Researching and recommending future technology to enhance business operations
· Support small-scale improvement initiatives and contribute to a culture of ongoing optimisation.
Security
· Ensuring the company’s cyber security meets industry compliance regulations and remains fully licenced for all operational software
· Keeping up to date with all GDPR rules and practices and applying them as required throughout the operational business systems.
· Ensuring all systems are updated with any software updates or patches that are required to keep Fred Perry data safe.
· Make certain any system development meets the required regulations.

HOURS:
We actively encourage our teams to have a good work/life balance and so we are pleased to offer flexible working shifts at Fred Perry HQ. Our core shift hours are from 10am – 4.30pm and so employees can choose to start and finish early, or start and finish late. (i.e. work 8:00am-4:30pm, or 10:00am-6:30pm etc). We also have 30-minute early finish on Fridays.
As we continue to work in a more flexible way, the Head Office acts a brand hub, where we can all connect and collaborate with one another. This role is a mix of office based (London) and remote working. We will expect the employee to come into the office regularly for face-to-face meetings and to work alongside their team on collaborative projects.
